Dear clients and friends:

Once a company has obtained its employer registration certificate, agents from the National Immigration Institute (INM) may conduct verification visits.

During these verification visits, the agents review the company’s corporate documents, information about its foreign personnel, and its facilities.

These visits are random and can occur at any time throughout the year, including while a file is in process.

Our recommendations for handling a verification visit are as follows:

  1. The visit should occur between 8:00 A.M. and 6:00 P.M.
  2. Ask the immigration agent to identify him/herself with a credential issued by the INM that includes their name and photograph.Take note of their name for future reference. One or various immigration agents may attend to the visit.
  3. Allow the immigration agent to enter your company premises to conduct the verification.
  4. Present the documentation requested by the immigration agent. They will typically want to speak with the company’s legal representative.
  5. The agent will review the facilities and take photographs.
  6. At the end of the visit, a detailed report will be prepared, signed, and delivered to the person who attended the visit. This report will indicate any points that were not satisfactorily covered and provide a deadline for meeting these requirements.
  7. After the verification visit, we recommend that you contact us and send the minutes of the visit. This will help us confirm whether the visit was successfully concluded or, if not, advise on how to comply with any requirements specified by the immigration authority for additional documents or information.

Documents Typically Requested by the Immigration Agent During a Verification:

  1. Articles of Incorporation of the company, along with the registration with the Public Registry of Property and Commerce.
  2. A public instrument stating the powers conferred to the legal representatives.
  3. An official identification of the legal representative – a certified copy is recommended.
  4. Proof of address that is dated within the last 30 days.
  5. An updated employer registration certificate.
  6. Proof of updated tax status.
  7. An updated list of national and foreign personnel.
  8. Simple copies of the residence cards of foreign employees on the payroll – if present, they must have their original identification on hand.
  9. Proof of payment of federal taxes, including the last monthly payment and annual tax documentation.
  10. If applicable, a Notice of Registration as specialized service providers or for specialized work issued by the Ministry of Labor and Social Welfare (REPSE).
  11. Proof of payment for the last month’s SUA (carátula de pago y transferencias bancarias in Spanish) worker-employer dues, including the payment cover sheet and bank transfers, along with a breakdown of this information.

    If the visit is related to a job offer, the following additional documents may be requested:

  12. A job offer letter issued to the foreign national and a copy of his/her passport.
